Food trailer acceptance checklist · Source review September 9, 2026
Bring the contract to the trailer. Before pickup or dispatch, match the actual unit against the approved drawings, change orders, equipment schedule and promised closeout records. Photograph condition, verify identification, operate what can be operated safely, witness the tests the contract calls for, and put every open item under a name and date. Acceptance needs that evidence; a highlight reel leaves it out.
This checklist keeps the commercial handoff organized. It does not replace any professional vehicle, electrical, plumbing, gas, fire, food-service or towing inspection required for the project.
01Bring the project file to the unit
Have these documents available in their current approved versions:
- signed proposal and line-item scope;
- approved plans, elevations and equipment layout;
- equipment schedule with manufacturer and model;
- approved change orders and substitutions;
- builder's pre-delivery checklist;
- vehicle-stage records promised by contract;
- test, inspection and commissioning records promised by contract;
- written warranty documents and claim contacts;
- open-item list already known to the parties;
- delivery, training and acceptance terms.
A visual walk without the file only confirms that a trailer exists. It does not confirm that the contracted trailer was delivered.
02Record exterior and vehicle-stage evidence
Walk clockwise and photograph every side before operating doors or panels. Then record the items applicable to the supplied stage.
| Check | Evidence | Result / open item |
|---|---|---|
| Physical VIN and manufacturer/certification labels | Legible photo and match to records | |
| Make, model and unit identification | Contract and unit records | |
| Axles, tires, wheels, brakes, coupler and safety equipment | Contract specification and responsible-party inspection | |
| Exterior finish and transit-prone edges | Dated condition photos | |
| Doors, windows, awnings, hatches, locks and seals | Open/close test | |
| Required lights and exterior electrical functions | Witnessed test by responsible party | |
| Roof and underside areas included in inspection | Safe-access photos or professional record | |
| Dimensions or interfaces controlling the next build stage | Measurement record |
For the current MOBITRUCK U.S. path, Concession Nation handles rolling-shell assembly, the American VIN and applicable vehicle-certification work for the stage it supplies. Verify the specific unit's labels and records; do not substitute a general website statement.
If another builder will complete the unit, use the shell-to-builder handoff checklist and complete the receiving record before later work covers the shell interfaces.
03Test service features in their real sequence
Open the trailer for service the way the crew will do it. Avoid a demonstration where three factory employees quietly hold or guide components that one operator is expected to manage alone.
- deploy and secure service panels and awnings;
- operate doors, steps, counters, guards, locks and weather seals;
- confirm order and pickup positions;
- operate interior and exterior lighting controls;
- check equipment access and removable components;
- walk the staff path with doors and drawers open;
- verify storage retention for travel;
- account for keys, remotes, manuals and loose accessories.
Record who performed each action and whether the buyer can repeat it after training.
04Verify equipment by model and condition
Do not count stainless rectangles. Match each installed item to the approved schedule.
- manufacturer, model and any serial number needed for warranty or records;
- physical condition and secure installation;
- required accessories, racks, pans, filters or remote components;
- service clearance and access;
- manuals and warranty-registration information;
- startup, functional or commissioning test included in the contract;
- approved substitutions and price/change documentation.
If an item cannot be operated because a utility, fuel, site or qualified technician is unavailable, mark it "not witnessed" rather than "passed." State the next test, location and responsible party.
05Review technical systems by responsibility
Ask the builder to present the records for the work it owns. Depending on the project, that may include electrical, plumbing, water, wastewater, ventilation, fuel gas, suppression, HVAC, shore-power, independent-power or monitoring systems.
- Name the designer or responsible contractor.
- Collect the promised as-built drawing or schematic.
- List installed major components.
- Record the test or inspection performed and by whom.
- Review operating instructions and shutdown procedure.
- Record maintenance requirements.
- Name the warranty and service contact.
- List every authority review still open.
Never describe a project as "fully inspected" without naming the inspection, scope, inspector and date.
06Build one closeout list
| Item | Contract reference | Photo / evidence | Responsible party | Due date | Blocks pickup? |
|---|---|---|---|---|---|
Define what blocks acceptance, what may remain after conditional acceptance and how the buyer confirms closure. Do not scatter defects across text messages, email chains and somebody's phone gallery.
07Make the handoff teachable
The final session should show normal startup, service deployment, shutdown, secure travel condition, cleaning access, emergency contacts and warranty reporting. Record a project-specific video if all parties agree, but keep the signed documents and written procedures. A video is evidence and training support; it is not the contract.
Use a written shot list tied to the shell-to-builder handoff checklist to capture useful footage instead of a cinematic tour that skips the controls and documents.

FAQQuestions buyers usually ask
Should I pay the final balance before inspection?
Follow the signed payment and acceptance terms and obtain legal advice if the contract is disputed. The commercial schedule should define when inspection, correction, pickup and final payment occur; this page does not change those terms.
Does a VIN prove the kitchen is approved?
No. Vehicle identity and certification records address the vehicle stage. Food-service, fire, trade, business and site decisions remain separate.
Can I inspect by video if I am in another state?
A live remote walk can document many items, but it may not replace project-specific professional or authority inspections and may not show condition as reliably as an in-person receiver. Agree on camera coverage, documents, tests and receiving rights in advance.
What if damage appears after transport?
Photograph condition before dispatch and immediately at receipt. Follow the contract, carrier process, insurance terms and written notice deadlines. Do not begin repairs that erase evidence before responsible parties are notified.
